Area:
In the HUB of Uruguay, we have the Financial Reporting area, which is responsible for ensuring that financial statements are completed appropriately, in compliance with local and international regulations. Monthly, quarterly, and annual reports are prepared, collaborating with Local Finance, Controlling, and the parent company. At the end of the month, all information is gathered from the SAP System modules, and then we report our Financial and Operational versions in our official system.
Main Objective of the Position:
Your main goal is to ensure the effective usage of information technology to support our legal and compliance operations. To this end, you will provide support related to Legal and Compliance Platforms (e.g. Trust Base, OneTrust, Suzy, ICM, NetDocuments referred to as ‘Platforms’), create and keep training materials up to date, conduct trainings and provide user support, develop support functionalities, ensure correct implementation and configuration of the contract review and approval workflow within contract management platforms, and be responsible for monitoring work, reporting activities, and ensuring service transparency and billing when applicable.
Main Tasks:
- Support the continuous development of the Platform content, preparing for the introduction of artificial intelligence and machine learning.
- Support the continuous development of Legal and Compliance tools.
- Support activities related to Legal and Compliance tools.
- Provision of services related to local or international Compliance inquiries based on manuals.
- Create training materials for legal and Compliance tools and keep them updated. Conduct user training sessions and provide user support. Develop support functionalities.
- Ensure the correct implementation and configuration of the workflows within the platforms.
- Be responsible for tracking work and reporting activities, ensuring service transparency and billing (when applicable).
- Platform Management: Ensure the availability, performance, and security of technical platforms.
- Maintenance and Updates: Support or perform regular maintenance and updates of software and hardware.
- User Management: Administer user accounts, permissions, and roles within the platform.
- Technical Support: Provide technical support to users and resolve platform-related issues.
- Monitoring and Analysis: Monitor platform performance and analyze data to identify and resolve issues.
- Documentation: Create and maintain technical documentation and user guides.
- Compliance: Ensure the platform complies with company policies and regulations.
- Process Automation: Identify opportunities for process automation and develop solutions to improve efficiency.
- Continuously assess and improve processes to enhance efficiency and effectiveness. Implement best practices within the organization.
- Prepare reports on status, key metrics, and performance indicators for management review. Maintain a centralized repository of contracts and related documents for easy access.
- Process Automation: Identify opportunities for process automation within the organization. Develop workflows and implement tools such as robotic process automation (RPA) or workflow management systems to streamline repetitive tasks.
- Data Management: Develop strategies for effective data management within the legal department. Implement solutions for data storage, retrieval, analysis, and security while ensuring compliance with relevant data protection regulations.
Requirements:
- Education: Business Administration, Legal, or a related field.
- Working Experience: Minimum of 3 - Maximum of 6
- Language Skills: Advanced English, capability in another European language (French, Italian, etc.) is valued
- Technical Skills: Professional experience in process and operations management (ideally legal and/or Compliance), experience with databases and standard IT applications (ideally legal and Compliance) experience with Citizen Development tools (e.g. MS Power Automate, MS Power BI).
- Soft Skills: Good communication skills to maintain constant contact with clients/stakeholders as well as other areas of the Hub and BASF.
